How Do I

Subscribe to a plan

Go to the Account tab.  Available Subscriptions will be displayed.  Not sure which one?  Tap “help” in the upper left.

Know which plan I have a Subscription to and when that plan expires

Go to the Account tab. The subscription end date will display near the top of the screen and your current subscription will have a checkmark next to it in the list of available Subscriptions.  Also, if you tap Profile you will see the plan and end date on the Profile screen.

Upgrade a Subscription

Go to the Account tab. Tap the Subscription plan you would like to update to.  You will be prompted through a few steps to complete.

Renew a Subscription

Go to the Account tab. Tap your current Subscription plan (the one with the checkmark next to it).  You will be prompted through a few steps to complete.

Restore previously purchased Subscriptions

Each time you sign into the app your previously purchased (and thus current) Subscription will automatically be determined before you continue.  To check manually, go to the Account tab.  Tap “Restore” in the upper right.  The app will verify your Subscription with the Apple App Store.

Register a second device and Sync data between two devices

After installing the app on device one, go to the Account tab and subscribe to a Cloud Sync plan. On device two install the app and sign in with the same email address & password you are using on device one.  The app will detect that this is a different device and prompt you to set this as an Additional device.  Once you select it as an Additional device and sign in the app will sync and stay in sync with device one.

Manually initiate a sync

Go to the Expenses or Receipts tab. Pull the view down until you see the spinning progress indicator.  This is similar to most other app pull-to-refresh gestures.

Save data in the cloud

If you have a Cloud Sync Subscription plan, your data is automatically saved to the cloud.  A Pro Subscription will not save data to the cloud (data is kept on your device).

Change my name

Go to the Account tab and then tap Profile.

Change my email address

Go to the Account tab and then tap Profile.

Change my password

Go to the Account tab and then tap Profile.

Have my password automatically filled in when I sign in

Go to the Account tab and then tap Profile.  There will be a switch to allow the app to remember your password with each sign in.  Set this to Yes.

Change an Organization name

Go to the Account tab and then tap Organization.  Tap the name of your Organization and you will be able to edit it.

Add a new Organization

Go to the Account tab and then tap Organization.  Tap “Add” in the upper right.

Create a Report

Go to the Expenses tab. In the Reports view tap “Add” in the upper right.

Edit a Report’s summary information

Go to the Expenses tab. In the Reports view press and hold the Report you want – the Report summary will appear.  You can also get to it by tapping the Report, placing you in the Items view.  Tap the top row under the “Summary” section.

View list of Expenses in a Report

Go to the Expenses tab. Tap the Report and you will be in the Items view.  These are all the Expenses for the Report.

Delete a Report

Go to the Expenses tab. Swipe the Report from right to left and a “Delete” option will be made available.  Alternately, edit the Report summary and there will be a trashcan at the bottom right.

Enter a Report reimbursement amount

Go to the Expenses tab and edit the Report’s summary information.  The reimbursement amount will only be visible if the Report is in a Closed status.  It will default to the total amount of the Expenses in the Report but you can tap it to edit it.

Change the Currency for just one report

Go to the Expenses tab and edit the Report’s summary information.  Tap the currency row and select from the available list of currencies.  Save the Report.

Export one or more Reports to a PDF report

Go to the Expenses tab and tap “Export” in the upper left.  In the Export view tap the PDF row.  You will be prompted to filter the Reports you want to group into this report, select how Receipts will be printed (if at all), change the report title and finally how you want to handle the PDF file being generated.

Export one or more Reports to a CSV file

Go to the Expenses tab and tap “Export” in the upper left.  In the Export view tap the CSV row.  You will be prompted to filter the Reports you want to group into this export and given the opportunity to change the filename being generated.

Export one or more Report to a QuickBooks file

Go to the Expenses tab and tap “Export” in the upper left.  In the Export view tap the QuickBooks row.  You will be prompted to filter the Reports you want to group into this export and then the file will be generated.

Create an Expense

Go to the Expenses tab. Tap the Report you are placing this Expense in and you will be in the Items view.  Tap the “Add” button in the upper right.

Add a Category to an Expense

Go to the Expenses tab. Tap the Report the Expense is in and you will be in the Items view.  Tap the Expense you want to edit (or tap “Add” to add a new one).  Tap the word “Category” and a list of available Categories will be displayed.  Select the one you want and then tap Done.  If this not your first Expense, a list of recently used Category icons will display to the right of the word “Category”.
You can also tap one of these to quickly choose that one.

Create a custom Category from the Expense detail screen

Go to the Expenses tab. Tap the Report the Expense is in and you will be in the Items view.  Tap the Expense you want to edit (or tap “Add” to add a new one).  Tap the word “Category” and a list of available Categories will be displayed.  Tap “Add New Category” and type in the new Category name.

Attach a Receipt image from your Photos library

Go to the Expenses tab. Tap the Report the Expense is in and you will be in the Items view.  Tap the Expense you want to edit (or tap “Add” to add a new one).  Tap “Add Receipt” and select “Choose existing image”.  You can then select an image from your library.

Attach a Receipt image from your camera

Go to the Expenses tab. Tap the Report the Expense is in and you will be in the Items view.  Tap the Expense you want to edit (or tap “Add” to add a new one).  Tap “Add Receipt” and select “Take a new photo”. You will then be able to take a picture of your receipt.

Crop a Receipt image

Go to the Expenses tab. Tap the Report the Expense is in and you will be in the Items view.  Tap the Expense you want to edit (or tap “Add” to add a new one).  In the Attachments section tap the Receipt image you want.  In the Receipt view, tap “Crop” on the bottom of the screen and drag the red box into area you want to keep.  Tapping “Crop it!” will crop and save.

Delete a Receipt image

Go to the Expenses tab. Tap the Report the Expense is in and you will be in the Items view.  Tap the Expense you want to edit (or tap “Add” to add a new one).  In the Attachments section tap the Receipt image you want.  In the Receipt view tap the trashcan on the bottom right.

View an Expense

Go to the Expenses tab. Tap the Report the Expense is in and you will be in the Items view.  Tap the Expense you want to view.

Delete an Expense

Go to the Expenses tab. Tap the Report and you will be in the Items view.  Swipe the Expense from right to left and a “Delete” option will be made available. Alternately, tap the Expense to view it and there will be a trashcan at the bottom right.

Move an Expense to another Report

Go to the Expenses tab. Tap the Report and you will be in the Items view.  Swipe the Expense from right to left and a “Move” option will be made available. Tap it and you will be prompted to select another Report to move it into, provided that the other Report uses the same currency.

Copy an Expense

Go to the Expenses tab. Tap the Report and you will be in the Items view.  Swipe the Expense from right to left and a “Copy” option will be made available. Tap it and a new Expense will be created with all the same values except for the Receipt image, which is not copied.

Quickly capture a Receipt image

Go to the Receipts tab. Tap the camera button at the top right. You will be prompted where you want to place the new image you just captured. Current Report: adds a new Expense with that Receipt image to the last Report you worked with; Choose Report: prompts you to select a Report for the new Expense you just created with that Receipt image; New Report: adds a new Expense with that Receipt image to a new Report.

View all Receipts

Go to the Receipts tab.

View Categories

Go to the Settings tab and tap Categories.

Create a custom Category

Go to the Settings tab and tap Categories.  Tap “Add” in the upper right.

Hide certain Categories that I don’t use

Go to the Settings tab and tap Categories.  Tap “active” for the Category and it will switch to “inactive” (and vice versa).  Inactive Categories will not display in the list of Categories when you are creating an Expense, allowing you to have a smaller list of only the Categories you use.

Set a Category expense amount warning

Go to the Settings tab and tap Categories.  Tap “alert” and a number will appear for the Category.  Enter the warning limit amount for this Category.  Any Expense using it will display a warning if the amount of the Expense exceeds that value.  It does not affect the Expense, it is just a displayed warning.

Change the order of how Categories are displayed when creating an Expense

Go to the Settings tab and tap Categories.  Sort the Categories alphabetically or by frequency of use using the buttons at the top.  However it is displayed on the Categories view is how it will be  displayed when creating an Expense.

Analyze my data

Go to the Analysis tab. Tap the button labeled “Summary” to switch between reports (Summary, by Payment type, by Category, by Organization, by Report).  Tap the time segments at the top to filter by date periods.  Tap the “filter” button to filter by several other values. There is also a sum pie chart, sum bar chart and count pie chart – reached by tapping the buttons at the bottom of the screen.

Set the default Currency

Go to the Settings tab and tap “Default Currency”.  Select from the available list of currencies.  This will be your currency by default when you create a new Report.

Set a Mileage Reimbursement amount

Go to the Settings tab and tap “Mileage Reimbursement Amount”.  Enter the value per mile (or kilometer).  Then, when you use the “mileage” Category in an Expense, a calculator will appear where you can enter the miles/kilometers instead of an amount.  The amount will be calculated for you.

Change my Color Theme

Go to the Settings tab and tap the Color Theme box you want.

Determine which version of the app I am using

Go to the Settings tab and tap About.

Show all tips again

Go to the Settings tab and tap About.  Then, tap “Show All Tips”.

Email the Support Team

Go to the Settings tab and tap “Email our Support Team”.

“Undelete” a Report, Expense or Receipt deletion

At this time there is no undelete function in the app.

Replace a device with a new device without losing data

This can only be done with a Cloud Sync subscription. Download and install the app on the new device and sign in with the same email address & password you were using.  The app will detect that this is a different device and prompt you to do a REPLACE/REINSTALL.  Once you select this and sign in your existing data will be pulled from the cloud and you’ll be back up and running.

Reinstall the app on the same device without losing data

This can only be done with a Cloud Sync subscription. Delete the app from your device and then download and reinstall the app.  Sign in with the same email address & password you were using.  The app will detect that this is a reinstall and prompt you to do a  REPLACE/REINSTALL.  Once you select this and sign in your existing data will be pulled from the cloud and you’ll be back up and running.
